We will not use affiliate information for unrelated purposes without an appropriate lawful basis.
4. Our lawful bases for using your information
Under UK data protection law, we need a lawful basis for processing personal information.
Depending on the particular information and reason for using it, we may rely on:
Contract — where processing is necessary to enter into or administer your participation in the RitzyRa Affiliate Programme, including tracking referrals, calculating commission and making payments.
Legal obligation — where we need to keep or use information to comply with legal, accounting, tax or regulatory requirements.
Legitimate interests — where reasonably necessary to operate, protect and improve the affiliate programme, provide support, maintain appropriate records, manage affiliate accounts, prevent fraud or misuse and protect RitzyRa's business interests, provided those interests are not overridden by your rights and interests.
Consent — where we specifically ask for your consent for a particular use of your information. Where we rely on consent, you can withdraw it.
5. Affiliate tracking
Our affiliate platform uses referral technology to identify when somebody visits or purchases from RitzyRa through an affiliate link.
This allows qualifying purchases to be attributed to the appropriate affiliate account and commission to be calculated.
Tracking may involve cookies, referral identifiers or similar technologies provided by our affiliate platform.
The availability and duration of referral tracking may depend on the technology and settings used by the affiliate platform.
We do not guarantee that every visit or transaction can be attributed where tracking is prevented or unavailable.
6. Rep HQ
Approved affiliates may receive access to RitzyRa Rep HQ.
Rep HQ may store information including:
- your name and email;
- account status;
- login/account information;
- training progress;
- completed lessons;
- Content Lab progress; and
- answers or notes you choose to save within interactive features.
Information saved to your personal Rep HQ account is intended to remain associated with your account.
Other affiliates should not be able to view your private profile information, training progress or saved Content Lab answers.
7. Who we share information with
We may use trusted third-party services to operate the affiliate programme and our business.
These may include:
- our affiliate-management platform;
- Shopify and services supporting the RitzyRa online store;
- Rep HQ hosting, database and authentication providers;
- payment providers such as PayPal or banking services where required to make affiliate payments;
- email or communications providers;
- website, hosting and technical service providers;
- professional advisers such as accountants where necessary; and
- regulators, authorities or other parties where disclosure is legally required.
These providers may process personal information on our behalf or, in some circumstances, act as separate data controllers for their own services.
We do not sell affiliate personal information.
8. International data transfers
Some of the technology and service providers we use may process or store information outside the UK.
Where personal information is transferred internationally, we will take appropriate steps where required to ensure the transfer is made in accordance with applicable UK data protection law.
The safeguards used may depend on the provider, location and circumstances of the transfer.
You can contact us if you would like further information about safeguards applying to your personal information.
9. How long we keep your information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including operating your affiliate account, resolving disputes, maintaining appropriate business records and meeting legal, accounting or tax requirements.
Different types of information may therefore be kept for different periods.
Deactivating or leaving the affiliate programme does not necessarily mean all information will be deleted immediately. For example, we may need to retain records relating to commissions, payments, referrals, refunds or financial transactions for legal, accounting or dispute-resolution purposes.
Information that is no longer required will be deleted, anonymised or otherwise securely disposed of where appropriate.
10. How we protect your information
We take reasonable technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure, loss or misuse.
Where third-party platforms are used, we also rely on the security measures provided by those services.
No online service can guarantee absolute security, but we aim to use systems and providers appropriate for the information being processed.
11. Your data protection rights
Depending on the circumstances and the lawful basis being relied upon, UK data protection law may give you rights including:
- the right to access personal information we hold about you;
- the right to ask us to correct inaccurate or incomplete information;
- the right to ask us to delete your information in certain circumstances;
- the right to ask us to restrict how your information is used in certain circumstances;
- the right to object to certain processing;
- the right to data portability in certain circumstances; and
- the right to withdraw consent where processing is based on consent.
These rights are not absolute and may not apply in every situation.
To exercise a data protection right, contact RitzyRa using the contact details in this Privacy Policy.
We may need to verify your identity before completing a request.
Your right to object
Where we process your personal information on the basis of legitimate interests, you have the right to object to that processing in certain circumstances.
Please contact RitzyRa if you wish to object.
12. Leaving the affiliate programme
You may leave the RitzyRa Affiliate Programme at any time.
Your affiliate and Rep HQ access may then be deactivated.
We may retain information that we are legally required to keep or that is reasonably necessary for matters such as outstanding commission, financial records, refunds, disputes, fraud prevention or legal claims.
Other information that is no longer required will be deleted or anonymised in accordance with our retention practices.
13. Automated decision-making
RitzyRa does not intend to make decisions about your participation in the affiliate programme solely through automated processing where those decisions would have a legal or similarly significant effect on you.
Where account activity or sales figures are tracked automatically, decisions such as affiliate deactivation may still be reviewed or made by RitzyRa.
14. Changes to this Privacy Policy
We may update this Privacy Policy when our affiliate programme, technology, service providers or legal obligations change.
Where changes materially affect how affiliate personal information is used, we will take reasonable steps to bring those changes to affiliates' attention.
The latest version will show its most recent update date.
15. Complaints
If you have a concern about how RitzyRa uses your personal information, please contact us first so we can try to resolve it.
You also have the right to make a complaint to the Information Commissioner's Office (ICO), the UK's data protection regulator.
